**Wyndham Vacation Ownership (WVO)** has a great opportunity for an experienced **Administrative Assistant** to join our Club Accounting Team in Las Vegas, NV!


is a professional position in which the incumbent is responsible for serving as
the administrative assistant to the Vice President of Club Accounting, along
with the direct management team of five Directors and 83 employees in four
departments. This position requires strong organizational, interpersonal and
communication skills, strict confidentiality and the ability to easily manage
multiple projects and tasks independently and with minimal supervision.
Exercise independent judgment necessary to carry out the directives of the
executive management. Communicate and enforce company and department policies
and procedures as necessary.

**Responsibilities include, but not limited to:**


+ Coordinates, facilitates and/orattends designated meetings, conferences and special events(audio/web/visual), procuring meeting room space and materials for the 4departments

+ Plan lunch/snacks forHospitality Town Halls, Birthday, Count on Me Awards and Anniversarycelebrations

+ Producing agendas, coordinaterefreshments, and distribute meeting notes in a timely manner

+ Managing and coordinating calendars, sending outmeeting planners on their behalf, accepting/declining meetings received asnecessary, ensuring VPs have necessary work time balanced with meetings

Administrative Tasks

+ Independently prepares/types/draftsand distributes responses of internal and external correspondence, memos,mailings, faxes, e-mails and presentational materials containing routineand specialized inquiries, which may be confidential or complex

+ .Ordersoffice supplies for departments and ensures proper allocation of expensesto the business units. Coordinates UPS pick-up and deliveries for alldepartments

+ Builds/creates/prepares presentations for projects,meetings, conferences; gathers data/information for presentations; formatsaccordingly

and Expense Reporting

+ Coordinates travel arrangements forVP and their direct reports including travel itineraries, agendas, cashreports and expense reconciliation

+ Coordinates group travelarrangements for associates and/or other travelers for VP hostedconferences/meetings/etc, when necessary

+ Compiles/verifies all travel and incentive relatedreceipts and tallies expense reports for final sign-off; including resolvingdisputes/questions of reports as necessary


+ Sets and maintains vendor corporateaccounts, reviews accuracy of all incoming invoices, codes invoicesaccordingly and submit for payment. Submit check and cash requests asrequested.

+ Reconciling pcard transactions for thedepartments, compile/verify receipts of all transactions and submitmonthly for payment

+ Support clerical function for the Club Accountingdepartments as needed.


+ Administers/maintains departmentSharePoint website, assigns permissions according to company standards andpolices, updates and posts communications necessary for employee base upto and including surveys, dept event pictures, American Express gift cardrequests, calendars, etc.

+ Drafts/creates process flow maps,organization charts, floor plans as necessary for projects as requested byVP or their direct reports

+ Serve as associate advocate,communicating staff concerns/feedback as necessary for department/companyimprovement

+ Lead/administer the Count on Me! Council activities,functions, community outreach; communicate with corporate and maintain teameffort across all Las Vegas sites

+ **Education**

+ High school diploma

+ Associates degree or two yeartechnical certificate and five years of responsible professional supportexperience, preferable at the executive level, or relation combination oftraining and experience

+ **Knowledge and skills**

+ Excellent verbaland written communication skills

+ Excellentorganizational and time management skills

+ Ability toeffectively deal with internal and external customers

+ Meetingmanagement and planning experience

+ Ability to managemultiple, complex projects simultaneously and minimal supervision

+ Ability to makeindependent decisions based on business need and ethics

+ Strong leadershipskills

+ Ability to workin a fast-paced, deadline-driven department

+ Excellent workethic and commitment

+ Strongproblem-solving skills

+ Ability tomaintain confidential information

+ **Technical Skills**

+ Advanced PCskills (at least 5 years) in MS Word, Excel, PowerPoint, Publisher,Visio, and Outlook

+ Skills in MSSharePoint preferred

+ **Job experience**

+ 3-5 yearsadministrative experience in supporting executives/leaders, preferred
